Process your live payroll quickly

 

There are three quick ways for you to process your live payroll.

 

Pay Automatically is the fastest way to prepare your payroll. This method allows you to pay salaried, hourly or both classes of employees without operator input. Employees receive one standard pay as defined in their file. The process is completely automatic and hands-off until it is time to print the checks.

 

Import allows you to import time information from an ASCII file. The import file can be comma-delimited, tab-delimited or fixed length format. It reads a numeric ID and up to eight time fields in hours.fraction or hours:minutes format. The fields can be anywhere in the file. So you can read the output from many time clocks, spreadsheets, etc.

 

For those payrolls that are anything but standard, Industrial Strength Payroll offers you Time Entry. Time Entry pays any active employee in whatever order you choose. You select them by Name, by Pay ID or by a unique number assigned by the computer. Time Entry accepts nonemployee compensation, reported tips and nonstandard earnings. It computes all taxes and automatic voluntary deductions. You can change the taxes and any of the twelve voluntary deductions, including deferred compensation. To save time, you can record employee hours as hours and minutes. Time Entry can access the ten income fields and automatically previews a check before you post it.

 

Industrial Strength Payroll’s Time Entry also allows for expense reimbursement simply by entering negative values in any of the twelve deduction fields. Recurring reimbursements can be stored in the employee’s file.

 

And, any available deduction can be set up with a balance that decreases as deductions are done. These declining balance deductions are useful for employees paying back loans, for example.

Choose from five remittance methods

 

Industrial Strength Payroll has five remittance methods with check-writing payroll: a check with a preprinted top stub, a check with a blank top stub, a Quicken®-type format with a check on top, vouchers and Direct Deposit. All of these checks are readily available from Phoenix Phive.

 

Checks may be printed on a different printer than the one you use for reports.

 

There is also, for greater convenience and savings, an optional, extra-cost MICR Encoder that creates checks on blank check stock.

 

Messages can be put on the check stub as can the FEIN, a requirement for certain agricultural employers. Users with laser printers can specify one or two stubs. Checks and vouchers provide current and year to date payroll information.

 

There is even a separate field for the Payee Name on the check. This allows you to format names the way people like them and to save them in the proper Social Security format.

 

For example, an employee who is known to the bank as ‘Prince’ might have a Social Security Card showing his name as ‘George MacDonald Smith’.

 

This field also makes it easy to format 3rd party checks.

 

In addition, Industrial Strength Payroll supports Direct Deposit.

 

With Industrial Strength Payroll you can direct deposit into two bank accounts per employee. Plus, you can deposit two different ways: through your bank using additional software from your bank and ACH formatted files, or through National Payment Corporation.

Each client can operate in up to three states simultaneously. Each employee can have taxes withheld from any two of those states concurrently.

 

This feature is useful if your company operates in more than one state and you want consolidated reporting, or if you are in a border situation, where you need to have taxes withheld from one state and unemployment insurance accrued for another.

Extensive error checking

 

Industrial Strength Payroll compares Social Security numbers with the SSA’s published prefixes. It questions any number that could not have been issued. This feature may help to avoid fines and penalties that you might incur by filing W-2s and 1099s with incorrect SSNs. ITINs are also checked.

 

Yet another error checking routine recomputes FICA, Medicare and DI when recording after-the-fact payroll.

 

To help ensure accurate input and to avoid skipping an employee, Industrial Strength Payroll provides optional hash totals. You can create hash totals using the Pay ID, the last four digits of the employee’s Social Security Number, regular hours, or all three at once. Gross pay is used instead of hours in after-the-fact.

Another timesaving feature allows you to enter time as hours and minutes in addition to hours and fractions of hours. This saves time spent converting hours to a decimal and can improve accuracy as well.

 

Industrial Strength Payroll also allows you to relabel eight of the income and all of the twelve deduction fields. So you can use labels most meaningful to you and your employees. Industrial Strength Payroll also skips over blank labels saving you time and keystrokes.

Current tax tables

 

When you buy Industrial Strength Payroll, you receive the current tax tables for all 50 states, the District of Columbia, New York City, Guam and Saipan. After this time, when the tax rates change, you can use the maintenance function to change them as needed. It is a quick and easy procedure. Industrial Strength Payroll easily accommodates city taxes. New York City’s are built-in. You can store flat rate taxes for other cities in the appropriate employee’s file. Each employee may have two city/local tax rates. It also computes Head taxes.

Useful reports and work sheets

 

Industrial Strength Payroll has many helpful accounting and management reports. They include monthly and quarterly federal, state and local tax work sheets; Federal Forms 940, 941, Schedule B Form 941 and 943, a New Hire Report, as well as state tax and unemployment reports and deduction reports.

 

To prepare your 941s, just select 941 and the desired quarter from the menu. The screen shows an image of the 941 the way it will print. You can make any changes you like. Then, simply enter the total of your deposits, click Print and Industrial Strength Payroll will create your 941s on your laser printer or print them on preprinted 941 forms. It will also print Schedule B for semi-weekly depositors.

 

Industrial Strength Payroll also prints out a summary worksheet showing 941, State and Local information. This is useful for EFTPS deposits.

 

Management reports include an Earnings Report, a Sick and Vacation Report, an Employee History Report and a unique Company Employment Profile Report.

 

Most reports can be viewed as well as printed. Many printed reports can be printed in either Portrait or Landscape format.

 

The New Hire Report is intended to handle reporting of new hires to the states.

 

The Earnings Report lists all your employees and their earnings over the period you choose. Arranged in order of Job Class, it is useful when discussing and reviewing your Workers Compensation Policy.

 

The Sick and Vacation Report produces a list of sick and vacation hours paid and accrued. You use it to track time lost due to illness and to plan for or accrue vacations and vacation pay.

 

The Employee History Report lets you view or print all transactions into an employee’s payroll over any given period. You define the period. When displayed on the screen, the information is presented in Gross-to-Net format. You learn the details by clicking on the transaction that interests you. Printed reports can be in either Gross-to-Net or detailed formats.

 

The Company Employment Profile is a two-page report that helps you comply with antidiscrimination statutes. The Employment by Job Category report is a facsimile of EEOC Form EEO-1. The Employment by Age report analyses your workforce by gender, ethnic background and age using the same EEO-1 format.

 

Both reports help you to comply with antidiscrimination and equal employment statutes.

 

Accounting reports include Federal, State and Local Tax Reports and the Deduction Reports. All reports are available for any month or any quarter at any time.

 

The Federal Tax Report shows the Gross Pay, deferred compensation, FIT withheld, FICA wages, reported tips and withheld, Medicare wages and withheld, FUTA wages and liability, and Cafeteria Plan deductions. If fringe benefits are available, details of Dependent Care, Life Insurance and Subchapter ‘S’ medical premiums are shown as well. The report is detailed by employee in alphabetical order by last name. Backup withholding, Advance EIC payments and 1099 compensation totals appear with the report totals.

 

The State Tax Report shows the Gross Pay for the state, state taxable wages and withholdings, SUTA wages and tax, and disability wages and withholdings. It is arranged by employee last name and shows excess wages. Reports for a quarter also show the number of employees per month. A separate State Tax Report prints for each state.

 

The Local Tax Report shows the wages and withholdings by employee. A separate report prints for each city or locality.

 

The Deduction Report shows the wages and deductions by employee. A separate report prints for each deduction label. Washington L&I shows hours instead of wages.

 

The Tax Summary Report is a summary of all the other reports. It prints a 941 work sheet, FUTA, State and Local Withholding, SUTA and DI in a one-page format. It can be viewed or printed.

 

This report can be printed in the form of a letter from you to your client or in EFTPS format. The report is available for the current period, any month or any quarter.

 

This report is to be used with the free EFTPS software available from the IRS for sending tax deposits. It computes Verification Codes, stores PINs and prints in correct order for input.

Federal Forms 940, 941 and 943

 

Industrial Strength Payroll comes complete with the necessary tools to create fileable Forms 941 and Schedule A (Form 941) using your laser printer. It prints Federal Forms 940, Schedule A (Form 940), and 943 on preprinted forms. You can also create these forms using a laser printer and our optional, extra-cost computer-generated images.

State wage and tax reports

 

Industrial Strength Payroll produces state Wage and Tax reports and listings on a Quarterly and Monthly basis.

 

You also receive generic wage reporting formats. These are used whenever the current proper state form is not installed. You can change the way that data is formatted on these reports so as to more closely approximate the continuation sheet for your state.

 

State quarterly wage formats that are available now include Arizona, California, Michigan, New Jersey, New York, North Carolina, and Ohio. Increasingly, states are insisting on efiled reports so many of these images are file copies only.

 

Fileable images are available for all supported states that accept such output. For those that insist on a specific color, such as Ohio, the computer-generated images produce file copies.

Electronic state wage reports

 

Industrial Strength Payroll has a convenient feature that allows you to create ASCII-coded wage reports. Many states now have sophisticated web-based import routines. This feature of Industrial Strength Payroll lets you create a file that can be used to upload wage data. This is a generic format and is not guaranteed to work with all states. Payroll registers

 

Industrial Strength Payroll’s payroll register reports are comprehensive planning, reporting and auditing tools. They are available for the current period, any month, any quarter and the year to date. They can provide full detail for audit purposes or Gross-to-Net only for management information. They can show each employee or department summaries. You can sort the reports by Pay ID, Last Name or record number. They may include regular employees, nonemployees or both categories.

Industrial Strength Payroll supports two concurrent printers. One is designated a system printer that receives all output except checks. The other receives output for checks. W-2s and 1099s can be sent to either printer.

 

The check printer can be the same as the system printer. Each printer has two font faces and sizes of your choosing.

 

Printers can be located anywhere, even e-mail, fax, HTML or any printer device installed on your computer.

Industrial Strength Payroll automatically provides tips deemed wages information for reported tips. It supports directly and indirectly tipped employees. Meal reimbursements and charge tip payments are handled as negative deductions.

 

Industrial Strength Payroll can optionally force payment of minimum wage to directly tipped employees. Whenever the hourly rate that results from dividing the sum of wages and allowable amount of reported tips by hours worked is less than required, extra wages are added automatically.
